Privacy Policy

This Privacy Policy describes how RealtyNX ("RealtyNX," "we," "us," or "our"), operating at https://realtynx.com, collects, uses, stores, and protects information when you use our SaaS CRM platform and related services (the "Services"). By using the Services, you agree to the practices described in this policy.

1. Information We Collect

We collect the following categories of information:

  • Account Information: name, email address, phone number, company, role, and authentication credentials.
  • CRM Content: contacts, leads, properties, notes, tasks, messages, and other content you create or upload.
  • Connected Email Data (Google Gmail): when you connect a Gmail account via Google OAuth, we access Gmail messages, metadata, drafts, and the ability to send email on your behalf strictly to power features inside RealtyNX.
  • Usage Data: log data, device information, browser type, IP address, and interactions with the platform.
  • Cookies: session and preference cookies used to operate the Services.

2. How We Use Information

  • Provide, maintain, and improve the RealtyNX CRM and its features.
  • Authenticate users and secure accounts.
  • Send and receive emails on your behalf through your connected Gmail account.
  • Sync, display, search, and organize your email threads inside RealtyNX.
  • Provide customer support and respond to your requests.
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell, rent, or share your personal data or email content with third parties for advertising purposes.

3. Google User Data

RealtyNX integrates with the Google Gmail API to allow users to send and receive emails directly within our CRM. Access is granted only through Google OAuth 2.0, and you can revoke it at any time from your Google Account permissions page.

Scopes requested and why:

  • gmail.readonly / gmail.modify — to read, sync, label, and display your email threads inside RealtyNX.
  • gmail.send — to send emails on your behalf from RealtyNX.
  • userinfo.email / userinfo.profile — to identify the connected account.

Limited Use Disclosure: RealtyNX's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Gmail data to provide user-facing features inside RealtyNX.
  • We do not transfer Gmail data to others except as needed to provide the Services, comply with law, or as part of a merger or acquisition.
  • We do not use Gmail data for serving advertisements.
  • We do not allow humans to read Gmail data unless we have your explicit consent, it is needed for security, to comply with law, or for limited debugging where data is aggregated and anonymized.
  • We do not use Gmail data to train generalized AI/ML models.

4. Data Security

We implement industry-standard administrative, technical, and physical safeguards to protect your data, including:

  • Encryption in transit using TLS/HTTPS.
  • Encryption at rest for OAuth tokens and sensitive data.
  • Strict access controls and role-based permissions.
  • Regular security reviews, monitoring, and audit logs.
  • Secure cloud infrastructure with reputable providers.

No method of transmission or storage is 100% secure, but we work continuously to protect your information.

4a. SMS / Text Message Communications

RealtyNX sends operational SMS messages (call summaries, missed-call alerts, transfer notifications, and account-related updates) only to users who have explicitly opted in.

  • How you opt in: from your account Settings page, you enter your mobile number in E.164 format and toggle the "SMS Notifications" switch. The full consent text is displayed on screen before you opt in.
  • What we record: your user ID, phone number, the exact consent text shown, timestamp, IP address, browser user-agent, and the source of the opt-in. This record is stored in our database to prove consent.
  • Message frequency: varies based on platform activity. Message and data rates may apply.
  • How to opt out: toggle "SMS Notifications" off in Settings at any time, or reply STOP to any message. Reply HELP for help, or email support@realtynx.com.
  • No sharing for marketing: Mobile information will not be shared, sold, or transferred to third parties or affiliates for marketing or promotional purposes. SMS opt-in data and mobile numbers are only shared with our messaging provider (Twilio) strictly to deliver the operational messages you requested.
  • Carriers: carriers are not liable for delayed or undelivered messages.

RealtyNX may send transactional SMS notifications to users who explicitly opt in through their account settings. These messages may include apartment inquiry updates, viewing reminders, booking confirmations, lender coordination notifications, customer support responses, and other account-related activity.

Phone numbers collected for SMS consent are used solely for transactional communication related to RealtyNX services and are not shared with third parties or affiliates for marketing purposes.

Message frequency varies. Message and data rates may apply. Users may opt out at any time by replying STOP to any SMS message or by disabling SMS notifications within their RealtyNX account settings. For full details on the opt-in workflow, see our SMS Notification Consent page.

5. Third-Party Services

RealtyNX integrates with trusted third-party providers strictly to deliver the Services. These may include Google (Gmail / OAuth), cloud hosting providers, analytics tools, authentication providers, and payment processors. Each provider operates under its own privacy policy and is contractually required to protect your data.

6. Data Retention

We retain account and CRM data for as long as your account remains active or as needed to provide the Services. You may request deletion of your data at any time by contacting us. Disconnecting your Gmail account immediately revokes our access and stops further syncing.

7. User Rights

You have the right to:

  • Access, update, or correct your personal information.
  • Disconnect Gmail or any connected account at any time.
  • Request deletion of your account and associated data.
  • Opt out of non-essential communications.
  • Request a copy of the data we hold about you.

8. Children's Privacy

RealtyNX is not intended for individuals under the age of 16. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective Date" above indicates when it was last revised. Material changes will be communicated through the platform or via email.
